Pay Scale:
Aides the Skilled Nursing Facility Director of Nursing (DON) in staff capacity by handling a wide variety of tasks involving the administrative functions of the office. Manages meetings and correspondence for the Director of Nursing.
Because of the confidential nature of Nursing Administration matters, the Administration Assistant is designated as a confidential employee and therefore exempt from union status.
Essential Functions
Arrange committee and administrative meetings as directed by the SNF Director of Nursing.
Keep the SNF DON informed of daily operations of the facility in their absence.
Receive patient communications including complaints and compliments and route communications to appropriate staff members.
Assist with SNF staff scheduling with knowledge of union regulations and correspondence required with staffing.
Assist DON with day-to-day administrative tasks.
Sends PBJU reports to CMS in a timely manner.
QA monitoring and reporting.
DSD training per CDPH guidelines.
Will need to cross train to LVN charge nurse position if coverage is needed.
MDS completion.
Submit completed treatment authorization requests (TARS) and obtain the corresponding approvals. Maintain log of all TARS including period covered and renewal date.
Other duties as assigned.
Other Responsibilities:
Maintain CONFIDENTIALITY of departmental and patient information.
Attend and participate in in-service educational classes and on-the-job training programs as directed.
Complete annual health requirements in a timely manner.
Occasional Weekend On-Call duties.
Other related duties and responsibilities as directed by the SNF DON.

Thorough knowledge of administrative procedures with the ability to interpret Administration and SNF policies, union contract, and procedures clearly and accurately.
Thorough knowledge of modern office practices and procedures, Microsoft word and Excel, the use of office machines and equipment including but not limited to computers, and photocopiers.
Ability to establish and maintain effective working relationships with supervising personnel, co-workers, the media, representatives from all levels of government, civic organizations, business professionals, the medical staff and the general public.
Ability to project a positive, concerned image to the public.
Ability to communicate effectively orally and in writing.
Skilled at taking or recording sufficient notes at meetings and preparing accurate records of the event.
Licensed Vocational Nurse (LVN) or Registered Nurse (RN) with two (2) years of experience in a Skilled Nursing Facility.
DSD certificate preferred (training opportunity available).
MDS experience preferred.
TARS experience preferred.
